Updates to Your MyGS Account Are Coming

Update - December 3, 2020

As we approch the go-live date for MyAccount, please be on the lookout for an email from GSUSA that will you instructions on how to log in to the new system and reset your password. These emails will begin going out on Sunday, December 6, 2020 and will continue through at least Wednesday, December 8, 2020. If you had an existing myGS account and do not receive an email by Thursday, December 9, 2020 - please contact customercare@girlscoutshh.org. 

What You Need to Know

Later this fall Girl Scouts will release a refreshed member account management system, currently known as MY GS. The fresh new environment will provide increased visibility to your Girl Scout member account, make it simpler to manage and maintain household memberships (and for troop leaders, troop memberships too!) and find more fun for your girl! As Go-Live approaches we want our members and volunteers to know that we will be here to guide you through the transition from beginning to end!

View a copy of the  Go-Live timeline which shows important timeframes for your awareness. As we get closer to the different phases shown on the timeline, we will share more detailed messaging and communications to ensure your comfort and readiness for system downtime (November 18 - week of December 14) and Go-Live with the new My Account portal. We encourage you to be on the lookout for additional emails and communications in the weeks to come to guide and support you throughout this time!

Renew Today

As we upgrade from MyGS to MyAccount, there will be a period of time where MyGS will be down and cannot process membership renewals or new memberships. We have developed a council workaround where you can submit new membership inquiries here or by filling out the below form. You can also renew existing girl and adult memberships here.

How to Prepare for Upcoming System Downtime

Starting November 18 at 11:59 PM EST, Girl Scouts will begin system-wide updates that will temporarily restrict the ability to complete many volunteer and member related tasks and pause access to many systems and tools used by members and volunteers. To prepare for this time, review the guidance for the below systems that you may use. 

Volunteer Tool Kit (VTK)

Unavailable to all users beginning November 18, 2020.

Who Will Be Impacted

  • Returning Troop Leaders/Co-Leaders
  • New Troop Leaders/Co-Leaders
  • Volunteer Mentors, Coaches, Program Coaches, Facilitators, Trainers
  • Volunteer Recruiters/Liaisons 
  • Service Unit Administrative Team Volunteers 
  • Volunteers, Other 

Implications: 

  • Users will not have access to meeting aids and other resources available in the VTK to support meetings and activities scheduled during downtime. 
  • Demo access will not be avialable for leader training, mentoring, coaching, etc. 

Readiness Solutions:

  • Troop leaders should download all meeting aids and/or resources needed for troop meetings or activities scheduled from November 18 – Go-Live
  • Troop leaders should consider any non-meeting or activity needs they may have during this time. For example, will you need your troop roster? Are you planning a visit to the council shop to purchase awards and badges? Remember to print your shopping list before November 18.

Service Unit team members (mentors, program coaches, trainers, etc.) should reschedule all VTK trainings from November 18 – December 14

myGS Readiness List
Unavailable to all users beginning November 18, 11:59 PM EST thru Go-Live.

Who Will be Impacted

  • All member household account managers and volunteers.

Implication/s

  • All users will be unable to access their Girl Scout account.

Readiness Solution/s

  • All users should take care to visit and review their account before November 18.
  • Make sure all adult users in household have a unique email address. myAccount does not permit sharing of email addresses.
  • Household members with an expired membership should renew before November 18.
  • All members and volunteers should watch for an email from Girl Scouts in early December announcing the debut of our refreshed member account management system, updated login information, and instructions on how to access their refreshed Girl Scout account (myAccount)
     
Looker

Looker (service unit admin team reporting resource) Readiness List
Unavailable to all users beginning November 20*, 11:59 PM EST thru Go-Live; *note date difference

Implication/s

  • Volunteers who rely on Looker reporting will be unable to access reports


Readiness Solution/s

  • In some instances, volunteers may be able to use the most recent data available to meet their needs; volunteers should download a copy of the most recent/available data before November 21
     
Background Check Processing and Screening

Background Check Processing and Screening Readiness List
Unavailable for processing and screening beginning November 18, 11:59 PM EST thru Go-Live.


Who Will be Affected

  • All volunteers whose role requires a background check but who have not completed it prior to system downtime.
  • All volunteers with an “expiring background check” that needs to be renewed who have not completed the renewal prior to system downtime.

Implication/s

  • Due to system integration between background check vendors and Girl Scouts member account management system, background check processing and screening will be unavailable during system downtime
  • New and current volunteers required to complete a background check to serve in their role will have to postpone meetings and/or activities until post Go-Live when background check processing and screening will resume.


Readiness Solution/s

  • All volunteers who have received an invitation from the background check vendor to complete (or renew) their background check should submit their background check prior to November 14
    It is important to note that results of background checks that have been submitted but have not completed processing and screening prior to the start of system downtime (November 18 at 11:59PM EST) will be considered incomplete. Girl Scouts will have to postpone volunteer engagement for these individuals until post Go-Live when eligibility status can be confirmed. We kindly ask volunteers with pending background checks to submit their background check no later than November 14 to allow optimum time for processing and screening.
     
New Membership Registrations and Renewals

  • New (prospective) and renewing members will be unable to complete registration or renewals

Readiness Solution/s

  • Current members should review their household memberships (in myGS) and complete any necessary renewals by November 18
  • Volunteers who support new member registrations and/or renewals are encouraged to reach out to 1-855-232-GSHH (4744) for information and council guidance on supporting new member registration and renewals during this time

What You Need to Do:

In the new platform, all parents/caregivers must have a unique email address to identify them in the new environment. In our current system, many parents/caregivers are sharing one email address to access their family’s Girl Scout account.

To ensure a smooth transition for your family, and to avoid the need to ask for assistance later, we’re encouraging all members to take a moment to review and prepare your household for our fresh new environment by following these 3 steps:

1. Log in to your MyGS account.

2. Review the email addresses for your household. Are the parents/caregivers in your household using the same email address? If yes, complete the next step.

3. Provide a new email address for the secondary caregiver.
