Volunteers are the heart of Girl Scouting and their interests, expertise and time availability is wide and varied. We offer opportunities to work directly or indirectly with girls or both. Pathway offerings allow for various time commitments of weekly, once a month, weekends, evenings or a specific event. Look at the Position Descriptions listed below to see what sparks your interest!

Position:Adult Learning Facilitators
Appointed By: Volunteer Development Manager
Purpose of Position:  Responsible for delivery of Girl Scout Volunteer training as assigned
Accountabilities:

  • Conduct 2 to 4 council scheduled trainings during the calendar year.
  • Plan, organize and present curricula effectively.
  • Receive satisfactory evaluations from participants
  • Submit suggestions and changes.
  • Submit attendance sheets to council within two weeks of training.
  • Attend in-service training meetings as scheduled by Council.
  • Attend End of the Year Self-Evaluation with the Volunteer Development Manager

Requirements:

  • Registered Adult Girl Scout
  • Has received the required training for the position
  • Qualifications:

    • Has received the required training for the position Has demonstrated ability in Planning, Delivering and Evaluating course materials for trainings.

    Position: Leader/Advisor/CoLeader
    Accountable to: Volunteer Community Chair
    Appointed by: Girl Scouts Heart of the Hudson

    Responsibilities and Duties:

  • Registers all girls and other adults working with the troop on time and in accordance with council procedures.
  • With girl input, promotes an active, interesting program based on the ideals expressed in the Girl Scout Promise and Law by utilizing age appropriate Girl Scout handbooks, badge books, and program resources.
  • Actively supports and gives girls and their families the opportunity to participate in the council’s cookie program.
  • Actively supports and gives girls and their families the opportunity to participate in the council’s QSP product sale.
  • Actively supports and gives Girl Scout families the opportunity to participate in the council’s Annual Giving campaign.
  • Meets with Co-Leaders/Advisors or Assistant Leaders/Advisors on a regular basis to coordinate troop planning.
  • Meets with parents of girls to keep them informed of troop activities and to elicit their support.
  • Attends monthly Leaders’ meetings and actively participates in the Community.
  • Tracks troop finances by opening and maintaining a troop bank account according to GSHH policies and procedures and submits Annual Troop Financial forms on time.

    Position: Program 
    Appointed by: Program Manager
    Purpose of Position: Responsible for delivery of program at the level of commitment.

    Responsibilities and Duties:

    • Delivers a well organized program to girls based on the ideals expressed in the Girl Scout Promise and Law.
    • Honors commitments to deliver program.
    • Arrives at program delivery site early enough for set up to be complete before scheduled time of girl arrival.
    • Plan and present program effectively.
    • Displays enthusiasm and respect to girls and adults.
    • Compile participant evaluations upon completion of event.

    Position: Eposodic Volunteer
    Appointed by: Program Manager
    Purpose of Position: Responsible for delivery of program at the level of commitment.

    • Assists with delivery of a well organized program to girls based on the ideals expressed in the Girl Scout Promise and Law.
    • Honors commitments to deliver program.

    Volunteer Term Positions

    Position: Secretary
    Appointed by: Volunteer Community Chair
    Accountable to: Field Manager
    Term: One year term, nay be re-appointed with annual review
    Purpose: Records and distributes minutes at Community Leadership Team Meetings.

    Principal Duties and Responsibilities
    • Records accurate minutes at CLT and Leader meetings
    • Assures distribution of minutes to all members of the Community including Juliettes.
    • Ensures all records are transferred to the Volunteer
    • Community Chair upon completion of term.

    Position: Troop Organizer
    Accountable to: Volunteer Community Chair.
    Term: One year term, may be re-appointed with annual review.
    Purpose: To provide a process for offering Girl Scout Program to girls under the leadership of trained and caring Adults.

    Principal Duties and Responsibilities

    • Assisting Community Chair and Registrar in the recruitment of girls and adult volunteers.
    • Recruiting and placing girls in troops, groups, (Drop-in Centers Studio 2B) and Juliettes.
    • Transferring girls between troops
    • Implementing a follow-up process for girls and leaders who have dropped out of troops
    • Recruit adult volunteers in leadership positions
    • May provide and review the Community Orientation Packet with new leaders
    • Ensure the completion of the volunteer application, appropiate training registration, and follow procedures for volunteer placement
    • Keeps records such as: Troop #’s, Troop placement, waiting list, juliettes, etc.
    • Attends Volunteer Community Chair Team Meetings.
    • Attends Training
    • May perform other duties as may be assigned by the Community Chair

    Position: Community Fall Product Sales Chair/ Cookie Chair
    Position Summary: To manage Girl Scout Community Product Sale program and Troop Product Sale Managers
    Accountable to: Volunteer Community Chair in consultation with Membership Staff and Council Product Sales Manager

    Responsibilities and Duties:

    • Willing to take training for the position.
    • Establish deadlines for Troop Product Sales Managers
    • Conduct training for Troop Product Sales Managers
    • Encourage use of Product Sales program materials
    • Follow the procedures of fiscal responsibility taught at training
    • Monitor, review and submit all orders and reports accurately and on time throughout the sale
    • Receive product, supervise delivery to troops and receipt all transactions
    • Act as liaison between Troop Leaders and the Council to ensure a successful Product Sale
    • Maintain and keep records of product sales and their results
    • Order, receive and distribute girl recognitions
    • Work with Community Team to establish method of recognition at Community level
    • Ensure that Safety-Wise standards and guidelines are adhered to.

    Competencies (knowledge, skills and abilities required):

    • Belief in the Girl Scout Program and Principles
    • Willingness to register as a member of the Girl Scouts of the U.S.A.
    • Follows council policies, procedures and guidelines as they pertain to position responsibilities.

    • Implement procedures established by GSHH Product Sales Department and taught at training

    Position: Volunteer Community Chair (VCC)
    Appointed by: Field Manager
    Accountable to: Field Manager
    Term: 2 years; may be reappointed for another 2 year term, with a review
    Purpose: The Volunteer Community Chair represents Girl Scouting to the community at large and works with the Community Leadership Team to develop, extend and maintain Girl Scouting throughout the community.

    Principal Duties and Responsibilities:

    • Recruits, appoints, supervises and evaluates all Leadership Team members in consultation with the Field Manager; ensures all team functions are carried out.
    • Supervises troop leaders, through the Organizers and Consultants
    • Plans agendas and conducts Leadership Team meetings on a monthly basis or when deemed necessary.
    • Plans and conducts all monthly leader meetings
    • Attends council Volunteer Community Chair conferences
    • Becomes knowledgeable of resources within the community and actively seeks the support of individuals, organizations and businesses while being an advocate for Girl Scouts
    • Develops plans with the Leadership Team and the Field Manager to strengthen Girl Scouting in the community
    • Ensures that all new leaders receive community orientation, take basic and level trainings and tracks the community leaders’ trainings r records
    • Be a positive supporter of GSHH staff, policies and procedures
    • Supports all council-sponsored program and fund raising events; promotes the idea that fund raising is the responsibility of all Girl Scout adults.
    • Establishes a warm, friendly cooperative atmosphere among the adult Girl
      Scout members in the community
    • Sees that leaders and other volunteers are appropriately thanked and/ or recognized for their efforts

    Position: Registrar
    Accountable to: Volunteer Community Chair and Council Registrar
    Term: One year term, may be re-appointed with annual review.
    Purpose: To process membership registrations

    Principal Duties and Responsibilities:

    • Distribute the official GSUSA computer-printed and blank membership registration forms to current and prospective members within the assigned Community.
    • Process all Girl Scout annual membership registrations in accordance with instructions given during Registrar training.
    • Review each membership registration form for completeness and accuracy of information.
    • Track available troop numbers and lapsed troops in conjunction with Troop Organizers and Council Registrar.
    • Provide membership data or member information to Community Team as appropriate.
    • Track member information and notify the Community Chair, Council Registrar and Troop Organizer of changes to a member’s information.
    • Promote early registration.
    • Coordinate and attend Community registration events.
    • Work with the Troop Organizers in the Community, as needed.
    • Attend Community meetings.

    Qualifications:

    • Must be a registered and active member of GSUSA and subscribe to the principles of Girl Scouting as embodied in the Promise and Law.
    • Maintain positive and open communication/collaboration.
    • Ability to follow the policies and procedures of the Girl Scouts Heart of the Hudson.
    • Organized and flexible.
    • Computer skills helpful, but not required.
    • Ability to handle and maintain confidential information.

    Position: Consultant
    Accountable to: Volunteer Community Chair
    Term: 1 year term, may be re-appointed with annual review
    Purpose: To provide assistance, guidance, direct service and counseling to help Leaders establish and maintain an attractive Girl Scout program which meets the needs of girls

    Responsibilities and Duties:

    • Creates a partnership with assigned volunteers that is open, supportive, and non- threatening. Provides encouragement, recognition, and other necessary support.
    • Is available to volunteers to help plan and evaluate meetings. Acquaints volunteers with appropriate resources available within the community and the council.
    • Helps volunteers to understand their role in relation to others: girls, parents, other volunteers, community, council, etc.
    • Ensures that volunteers are registered and that they take required training.
    • Helps volunteers organize and maintain necessary records so that required reports may be filed in a timely manner.
    • Supports volunteers and keeps them informed of all changes in council procedures and/or policies.
    • May be responsible for trip and money earning logs for her assigned troops.
    • Maintains contact with her assigned volunteers. Is available to answer questions and troubleshoot.
    • May be responsible to provide and review community orientation packets with assigned volunteers.
    • Attends monthly Leaders’ meetings and actively participates in Community Leadership Team meetings.

    Position: Adult Recognitions Coordinator
    Accountable to: Volunteer Community Chair.
    Appointed by: Volunteer Community Chair in consultation with Field Manager

    Responsibilities and Duties:

    • Use resources provided to understand GSHH and GSUSA awards and recognitions.
    • Attend and participate in GS Community Leadership Team and GS Community Leader meetings.
    • Ensure adult records are current and accurate.
    • Track recipients of Girl Scout Community, GSHH, and GSUSA awards and recognitions.
    • Present an overview of awards available to leaders at a GS Community meeting.
    • Organize nominations and endorsement letters ensuring documentation supports each volunteer recognition.
    • Submit order forms for awards and recognitions by March 3rd annual deadline and any records as requested.
    • Pick up GS Community awards from Council shop in a timely manner.
    • Conduct a GS Community Recognitions ceremony with Volunteer Community Chair.

    Qualifications:

    • Pick up GS Community awards from Council shop in a timely manner.
    • Conduct a GS Community Recognitions ceremony with Volunteer Community Chair.
    • Be a registered Girl Scout Volunteer
    • Comply with GSUSA and GSHH policies and standards.

    Position: Treasurer
    Accountable to: Volunteer Community Chair
    Term: 1 year with annual review; may be reappointed annually
    Purpose: To maintain accurate records of the Community Bank Account and keep a record of all Troop accounts in the Community.Principle Duties and Responsibilities:

    Responsible for the Financial Management of the Community:

      • Reconciles bank account on a monthly basis; reports at the Monthly Community Leader Meetings
      • Pays all bills relevant to the Community
      • Files Community Year end report in a by the council due date
      • Turns over all financials to Volunteer Community Chair at the end of her term
    • Troop accounts
      • Ensures that proper signatures are on individual Troop Accounts
      • Keeps a record of all troop accounts – Bank location, account number, authorized signers
      • Ensure that troop financials are submitted in a timely fashion – instruct and assist troop if necessary
      • Collect/Obtain financial records and checkbook for disbanded troops / close accounts if necessary
    • Able to interpret and implement GSUSA and GSHH policies, standards and procedures

    Position: Annual Giving Chair
    Accountable to: Fund Development Manager
    Appointed by: Girl Scout Volunteer Community Chair in consultation with Field Manager

    Responsibilities and Duties:
    • Attend the Annual Giving Training or scheduling a time to meet with a member of the Fund Development staff.
    • Work with your Volunteer Community Chair (VCC) to insure that each troop in your community has a Family Campaign Chair (other than the Leader). Make sure you have the name, address, telephone number and email address of each Troop Chair.
    • Work out a date with your VCC for Annual Giving Training and Campaign. Invite the troop leaders and their family campaign chair to join you for your information night! Be Prepared. Put together the materials for each Troop. Ask your Field Manager or VCC for the latest membership sheet or Troop Roster so you know how many girls are registered in each troop. Make up a packet for additional or late registering troops.
    • Facilitate training for your community.
    • During the Campaign, please check on each troop’s progress frequently; send out reminders about the deadlines.
    • When you receive the returned Troop Report Envelopes, open each returned gift envelope carefully. Check that the information on each Gift Card is accurate, complete and legible – including the names of parents, the amount enclosed and charge card info. Write the troop number on each check and verify that the same troop number is on the corresponding Gift Card. Separate checks and cash. Keep a tally of checks, cash and charges. When you have opened all the envelopes from one Troop, total the amounts indicated on the Gift Cards and compare to your total of checks, cash and charges. Record the troop totals on the bottom of each Troop Report Envelope and on the Community Bookkeeping Form.
    • Prepare a "Annual Family Campaign" bank deposit by doing the following: Endorse all checks with the community stamp. Check A/G on all deposit slips (available from your VCC). Make sure that the troop number is on all checks. Fill out the "Family Campaign/Annual Giving" deposit ticket listing each troop’s total on a separate line. Deposit all checks and cash for this and every deposit within a week of receipt. When making the deposit, make sure the bank returns to you two copies of the deposit ticket (or make additional copies, if necessary). Make sure you have a complete and accurate Community Bookkeeping Form as well as Donor Gift Cards that match each deposit you make.
    • For each deposit, send/deliver to your Council Regional Office the following: One copy of each Community Bookkeeping Form you have used so far; one copy of each deposit ticket that matches the bookkeeping form; and All the Gift Cards, charge authorizations, and matching gift forms – divided by Troop.
    • Repeat these procedures each time you receive a batch of Gift Envelopes from your Troops. Please make deposits frequently.
    • When all troops have been accounted for and all deposits made, turn in your endorsement stamps to your VCC and return any additional Annual Family Campaign materials for council to use throughout the seven counties.

    Position: Public Relations Organizer
    Accountable to: Volunteer Community Chair
    Term: 1 year term, may be re-appointed with annual review
    Purpose: To promote visibility and community awareness of Girl Scouts through a variety of avenues.

    Responsibilities and Duties:

    • Works with local media to increase the visibility of Girl Scouts in her community. 
    • Works with council’s Communications and Special Events departments to utilize resources available to Communities.
    • Acts as a liaison between the community and council for News and Events to be listed in council publications
    • Supports volunteers in her community with assistance and advice for community events and functions.
    • Helps volunteers prepare necessary records to fulfill the paperwork requirements for running an event.
    • Can serve in an advisory capacity in the planning of council Special Events.
    • Can create publications within her community that enhances the information distributed by the VCC.
    • Attends monthly Leaders’ meetings and actively participates in Community Leadership Team meetings.
    • Keeps an communication channels open between council communication and special event staff

    Position: Community Camping On-Site Coordinator
    Appointed by: Volunteer Community Chair (VCC)
    Accountable to: Volunteer Community Chair (VCC) and Girl Scouts Heart of the Hudson’s (GSHH) camp manager
    Term: One year, with annual review
    Purpose:
    Oversee Community Camping paperwork and safety before, during and after the event.

    Responsibilities and duties:

    • Be responsible for reserving site and filing proper forms in timely manner with appropriate funds.
    • Provide required paperwork to council and Camp Ranger.
    • Help plan and coordinate the community camporee and submit all forms as required.
      • Ensure health, safety and well-being of group.
      • Promote Girl Scout program, e.g., progression and minimal-impact camping.
      • Promote proper use of equipment and property (environmental safeguards).
      • Promote girl/adult planning of all outdoor programs.

    • Oversee check in and check out of troops
    • Be present at Community Camping from the time troops start arriving until the last troop leaves.
    • Be familiar with council policies, Safety-Wise, and procedures for the use of camp facilities and equipment.
    • Keep up-to-date on camp policies and procedures.

    • Registered member and belief in the purpose of Girl Scouting; knowledge and understanding of Girl Scout program; ability to commit to support of GSHH ways of work.
    • Organizational skills, communication skills, and sense of humor!

    Position: Council Annual Giving Volunteer
    Accountable to: Fund Development Manager
    Appointed by: Volunteer Community Chair

    Responsibilities and Duties:

    • Attend an Orientation/Training. Familiarize yourself with current Annual Giving materials and procedures.
    • Attend meetings based on the Annual Giving theme, the materials and the methodology.
    • Help develop the Volunteer Letter portion of the Family Mailer.
    • Assist or simply support the Fund Development Team at Trainings.
    • Help with sorting, counting and packing up of Annual Giving Materials.

    Position: Council Archives Volunteer
    Accountable to: Fund Development Manager
    Appointed by: Council

    Responsibilities and Duties:

    • Attend a National Level Archives Training.
    • He/she is responsible for the preservation of Girl Scout memorabilia consisting of uniforms and accessories, insignia, publications, photos, newspaper clippings, audio and videotapes, films and other memorabilia of Girl Scouting, both local and national.
    • He/she will work collaboratively with other archives volunteers to organize, catalog and display such memorabilia for the council.
    • Will attend meetings and work within the council’s directives in regard to its Archives.

    • This person should have an appreciation for the history of Girl Scouting in the Girl Scouts Heart of the Hudson Council and in the United States of America.

    Position: Green Hat Alumnae Volunteer
    Accountable to: Alumnae Committee
    Appointed by: Alumnae Committee

    Responsibilities and Duties:
    • Be a registered Girl Scout Member.
    • Be interested in Girl Scouts Heart of the Hudson, Inc.
    • Serve the council by keeping the channels of communication open between girls who are no longer active.
    • Help with council events.
    • Have fun.
    • Attend a meeting or two.

    • Volunteer is part of a council Team of Volunteers.
    • Council gains the support of an adult volunteer
    • Has the opportunity to make a difference and have fun doing so.

    Qualifications
    • This position is open to Alumnae of any age who are no longer active at the troop level.
    • This is for ladies who like to have fun.
    • This is for you if you would like to stay involved.
    • This is definitely for you if you like to travel.
